Phone Extensions

Phones can be administered in the MotionCX platform from the Users administration page, as well as the Phone Extensions page. The Phone Extensions page makes it easy to find and administer phones configured within the system no matter of the assigned user. Phones assigned here will be utilized by the MoctionCX platform to allow users to make and receive voice interactions.

To access the Phone Extensions page, navigate to Administration > Interaction Admin > Phone Extensions from the left navigation menu.

Add/Edit Phone Extensions

To add a new phone, click the Add Phone button in the top right corner of the Phone Extensions page. To edit an existing phone, click the Actions button next to an existing phone, and select Edit.

Assigned User - The Assigned User field is required. Select the assigned user from the dropdown list. The number next to the users name is their user ID within the MotionCX platform. This is used to distinguish users if multiple users have the same name.

Type - The Type field is required. Select the type of phone that will be used by the user. Options include SIP, WebRTC, and PSTN.

Extension - The Extension field is required. Enter the extension or phone number that will be used by the user. Once a number has been entered, click the Verify button to verify that the number is not associated to another user.

Has Voicemail - If checked, voicemail will be allowed for the extension. For voicemail to be accessible a Dial Pattern must also be created and associated with the extension.

Voicemail Message - The MotionCX platform uses text to voice for voicemail messages. If Has Voicemail is enabled, the text entered here will be the message played for the extensions voicemail.

Import/Export Phone Extensions

The import and export phone extensions functionality allows you to download a spreadsheet of all currently assigned phone extensions within MotionCX for your organization, or bulk upload a group of phone extensions into MotionCX.

Import Phone Extensions
To import a list of phone extensions into your MotionCX tenant click the Import/Export button at the top right of the Phone Extensions page, select Import From Excel, then use your computers file browser to locate and select the file you wish to import. After selecting the file a notification will display in the lower right corner of the page indicating the import process has begun. Once the import has completed a notification will be available on the notifications panel indicating the result of the import.

The import file must be formatted correctly for the upload to be successful. To download a sample import file click the Import/Export button at the top right of the Phone Extensions page and click the link to download the same import file. The fields and formatting of the file are as follows:

  • Extension - Numeric value for the extension or phone number.

  • Extension Type - The phone type to be used for the extension. Values can be: WebRTC, SIP, PTSN

  • Assigned User - The numeric user ID of the user that the phone extension will be assigned to. The user ID can be found on the Admin > Users page.

  • Voicemail - Indicates if the extension will have voicemail. Values can be: TRUE, FALSE

  • Voicemail Message - The message that will be read if voicemail is enabled for the extension.

Export Phone Extensions
To export a list of phone extensions currently in your MotionCX tenant click the Import/Export button at the top right of the Phone Extensions page and select Export To Excel. The exported spreadsheet will begin to download and save based on your web browsers download settings. If search criteria has been applied to your phone extension list the export will only contain the results returned in your search. If no search criteria has been applied then all phone extensions will be returned.

To delete a phone from a user, click the Actions button next to an existing phone, and select Delete.
