The Users administration page is used for maintaining users within the MotionCX platform. This page will allow you to create and edit users, assign permissions, as well as perform general administration of users within your organization.

To access the Users page, navigate to Administration > General Admin > Users from the left navigation menu.

Searching And Filtering Users

The Users page displays a list of users currently setup within your MotionCX account. As your account may contain a large amount of users, there are search and filter options to help you locate users easily.

Search
Users can be searched by First Name, Last Name, User Name, and Email Address. To search for a user, enter your search criteria in the search bar and click the magnifying glass button.

Filters
To filter users, click the Show Advanced Filters expander. Advanced filters will allow you to narrow your results by Role Permission and Roles. Select one of these filters, then click the magnifying glass button to apply it

To create a new user, click the Create New User button in the top right corner of the Users page. To edit an existing user, click the Actions button next to a user, and select Edit.

The Create/Edit User window consists of six tabs: User Information, Roles, Organization Units, Phone, Routing Profile, API Keys

User Information
The User Information tab is where identifying user information is captured. Name, Surname, Email Address, and User Name are required fields.

  • Email Address - This will be used for password creation and system notifications. The email address must be valid and accessible to the user.

  • User Name - The User Name will be used for logging in to the MotionCX platform. The User Name must be a unique email address and can not be changed once created. The User Name and Email Address fields can be the same.

  • Alias - An alias can be displayed for the user when responding to external interactions.

  • Send Activation Email - When checked, this feature will trigger the MotionCX platform to send an email to the users configured email address. This email will provide a link for the user to setup a password. This feature can be used when setting up new users, allowing them to create a new password, or for existing users to reset their passwords.

  • Active - The Active checkbox is used to enable and disable the users' access to the MotcionCX platform. The users will only be able to log in to the MotionCX platform if Active is checked. If Active is unchecked, the user account will remain in the system for later user, but the user will not be able to log in.

Active vs. Deleted

If a users' access should only be temporarily disabled, use the Active feature to disable their access. If a user will no longer be a member of the organization, the users' account can be deleted. See Deleting A User below.

Roles
The Roles tab includes a count of roles currently assigned to the user. To assign a role to the user, place a checkmark next to the desired role. Uncheck a role to remove it from the user. Roles assigned to a user by their association to an Organization Unit will be un-checkable and notated. See [Roles(doc:roles-1) for additional detail.

Organization Units
To associate a user with an Organization Unit (Team), place a checkmark next to the desired Organization Unit. Uncheck an Organization Unit to dis-associate the user from it. See Teams for more details.

Phone
The Phone tab is used to view and assign phones to a user. Phones assigned here will be utilized by the MoctionCX Agent application and allow the user to make and receive calls.

  • Add/Edit Phone - To add a new phone, click the Add Phone button. To edit an existing phone, click the Gear button next to the phone.

    • Type - The type of phone that will be used by the user. Options include SIP, WebRTC, and PSTN.
    • Extension - The extension or phone number that will be used by the agent. Once a number has been entered, click the Verify button to verify that the number is not associated to another user.
    • Has Voicemail - If checked, voicemail will be enabled for the user. A corresponding Dial Pattern to the users extension must also be created for voicemail to be accessible.
    • Voicemail Message - If Has Voicemail is enabled, this will be the voicemail message played.
  • Delete Phone - To remove a phone assigned to a user, click the Delete button next to the phone.

Routing Profile
Routing Profiles are used to set functionality and access to queues within the MotionCX platform. Users can be assigned to only one routing profile. Select the desired routing profile from the dropdown list to assign it to the user. See Routing Profiles for more detail.

Screen Capture Local Username - If using the MotionCX screen capture capability, this will be the username associated when administering and accessing screen captures for this user.

API Keys
Assigning API Keys to a user will allow them access to the MotionCX API. API calls, and the data returned by those calls, will be permissioned by the role(s) assigned to a user. Addition information regarding the MotionCX API capabilities can be found in the API Reference documentation.

  • Add/Edit API Key - To add a new API Key, click the Add API Key button. To edit an existing API key, click the Gear button next to an existing API Key
    • Secret - This is a system generated, unique key, that be needed when accessing API calls.
    • Expiration Date - The date in which the API Key will expire. After this date and time, the user will no longer be able to access the API with this key.

User Permissions

User Permissions can be inherited from Roles assigned to a user, and/or changed individually by a MotionCX administrator. To view or edit permissions granted to a user, click the Actions button next to a user, and select Permissions. The permissions window will list all permissions granted to a user.

To grant a permission, checkmark the desired permission. Uncheck a permission to remove it from the user. Click the Save button to save changes made to permissions.

The Reset Special Permissions button will update permissions for the user that were changed manually (not by a role). Roles assigned to the user, and the permissions granted through those roles, will remain assigned to the user.

Resetting Special Permissions

As it is possible to both add and remove user permissions manually, the Reset Special Permissions functionality may grant permissions back to a user (though assigned roles) that were intentionally removed.

Deleting A User

If a user will no longer be using the MotionCX platform, their user account can be deleted. By deleting a user, tickets and interactions associated to the user will be retained, only the users' account will be removed. To permanently delete a user, click the Actions button next to the user, and select Delete.
